Course Transfer Policy

Section 1 - Purpose and Context

(1) The University wishes to provide reasonable opportunity for high achieving students to reorient their study program after entry into the University, should they wish to do so. The University wishes to facilitate internal course transfer while maintaining the academic integrity of the admissions process.

Guaranteed Course Transfer

(3) The University will guarantee an internal course transfer for undergraduate students provided that:

  1. they have successfully completed 40 credit points in any UWS bachelor degree; and
  2. have attained a grade point average (GPA) of greater than 5 (which equates to a better than credit average).

(4) The University will also require any supplementary conditions to have been met (such as the satisfactory completion of an audition or presentation of a portfolio) which all students enrolled in a particular course have been required to meet.

(5) The University's Guaranteed Internal Course Transfer Policy will be discontinued from 2007. The guarantee of an internal course transfer will therefore cease after 2006.

(6) Students who wish to change their course of study must apply to the University in writing. Applications must be received by the published closing date.

(7) Students applying for admission under Guaranteed Internal Course Transfer Scheme (GICTS) must complete and lodge new forms with their GICTS application for Commonwealth Assistance (HECS-HELP or FEE-HELP) if applicable for the course they are seeking entry to.

(8) Students who are eligible can normally transfer to the course of their choice in the session following the application. In certain circumstances and because of academic reasons a particular course may not be able to accommodate a mid-year intake. Under such circumstances, students normally start in the new course at the beginning of the following academic year. It is important that prior to lodging the application form, students intending to transfer discuss with the relevant School the availability of units in the following session if they transfer.

(9) Students should also be aware that owing to timetabling, unit pre-requisites and unit scheduling constraints, it may not be possible to complete the requirements of the course in which they are transferring within the standard minimum time for completion.

(10) Students who wish to transfer to another course and do not meet the requirements as laid down in clauses (3-4) must reapply through UAC.

(11) Students who wish to change their key program should refer to clauses (13 - 20), Change of Key Program.

(12) Student who are undertaking UWS diploma courses are eligible to transfer to bachelor courses in the similar key program area after completing one full-time session of study (or the equivalent amount of study part-time) and have attained a grade point average of greater than 5.

Change of Key Program

(13) Key Program is an approved sequence of core, specified units, totalling at least 160 credit points, that is the core requirement for a student to take out a particular degree. The title of the key program may, provided it has been approved to do so at the time Academic Senate has approved the course, form part of the degree title and appear on the student's testamur.

(14) If you are seeking to transfer from a double degree to a single degree, please refer to the Transfer Policy clauses (1 - 12) above.

(15) The University may consider applications for a change in a key program, within the same study discipline, that are not covered by clauses (1-12), Guaranteed Course Transfer, if:

  1. the normal academic requirements of the key program to which transfer is sought have been met;
  2. any course prerequisites or additional selection criteria for a particular key program have been satisfied;
  3. there is a place available in the particular key program and that the University has the resources to support a transfer; and
  4. Applicants have successfully completed study equivalent to one full time session (i.e. 40 credit points) before applying.

(16) Applications, using the appropriate form available from Student Centres and on the website, must be made in writing to the University with a recommendation from the Associate Dean (Academic), or nominee. Applications must be lodged by the published closing date. At the time of lodging the transfer application, a new Commonwealth Assistance Form (FEE-HELP or HECS-HELP) if applicable including details of the new course, must also be lodged.

(17) The University does not guarantee transfer under clauses (1) through (12) regarding Change of Key Program even though these conditions may be met. Where an application does not meet these conditions, a student may seek admission to the Key Program by submitting an application through UAC or other admissions process appropriate to the Key Program.

(18) Transfer applications lodged after the due date will not be considered for the upcoming Teaching Session. The University may charge a fee for the lodgement of the application. A fee for late applications may also apply.

(19) Overseas Students should apply through the International Office.

(20) For postgraduate (Coursework) students the rules and procedures laid down in the Admissions Policy, regarding Postgraduate Coursework Admission, apply.

(21) Students will be notified in writing of the result of their application. Students should also be aware that owing to timetabling, unit pre requisites and unit scheduling constraints, it may not be possible to complete the requirements of the course in which they are transferring within the standard minimum time for completion. Students may be able to apply for Advanced Standing under the rules and procedures laid down in the Advanced Standing Policy, regarding Maximum Advanced Standing available.
