Summary of Changes from Previous Version

The main changes being proposed are designed to assist in simplifying and allowing flexibility to fill elected positions that become vacant, or fail to fill through the call for nomination process. With the current policy, it can take months to fill elected positions on committees, as there is no provision to fill casual vacancies by going to the next eligible candidate from a ballot, or allowing the chair to appoint an eligible candidate when there has been demonstrated lack of interest through repeated calls for nominations that illicit no response. Currently, the only option is to conduct another round of elections, which leaves positions vacant and generates unnecessary work for a number of teams across the University. The proposed changes give flexibility to select the next eligible candidate from a ballot (new clause 56), or allow a Chair to nominate a candidate if there is no response from repeated calls for nominations (new clause 57). This will be particularly useful when students resign or decline to take up an elected position. In the new policy, the member who polls the next highest number of votes in the immediately preceding ballot can be offered the position, rather than automatically conducting another election. Also included is a new provisions covering Chair and Deputy Chair elections, again to allow the second eligible candidate in a ballot for the Chair position the Deputy Chair.
